Counselling Agreement & Informed Consent

This agreement outlines the nature of the services offered, the framework within which counselling takes place, and the responsibilities we each hold within the therapeutic relationship.

Please read this document carefully before beginning sessions. By signing, you confirm that you understand and consent to the terms outlined below.

About the Work

My practice offers trauma-informed holistic counselling, integrating relational therapy, somatic awareness, and reflective exploration of personal experience.

Somatic awareness may include gentle attention to bodily sensations, breath, grounding practices, or reflective inquiry into the body’s responses to emotion and experience.

In some cases, reflective astrology may be used as an optional tool for insight and meaning-making if this feels relevant to the work. Astrology is used as a reflective framework and is not predictive in nature.

Counselling aims to support emotional understanding, self-awareness and meaningful change over time.

Scope of Practice

I am a trauma-informed holistic counsellor working within ethical and professional guidelines.

Counselling provided through this practice is supportive and exploratory in nature. It is not intended to diagnose medical or psychiatric conditions and does not replace medical, psychological or psychiatric treatment.

You are encouraged to consult your GP or other qualified healthcare professionals for medical or mental health concerns where appropriate.

No specific outcomes can be guaranteed, as therapeutic work is a collaborative process influenced by many factors.

The Therapeutic Process

Counselling may involve exploring difficult emotions, memories or experiences. At times this can feel challenging, and emotional responses may arise as part of the process.

Sessions are collaborative and exploratory in nature, moving at a pace that feels safe and appropriate.

You are always free to pause, redirect or decline any aspect of the work.

Sessions

Counselling sessions are 60 minutes in length.

Sessions are typically held weekly at the same time each week, creating continuity and a steady rhythm for the work.

Sessions may take place online, as Walk and Talk sessions in outdoor green spaces, or in person when available.

If you arrive late for a session, the session will still end at the scheduled time in order to respect the timing of other clients.

Fees and Payment

The fee for a 60-minute online or Walk and Talk counselling session is £90.

In-person session fees may vary depending on location and will be discussed and agreed before therapy begins.

Payment is required in advance of each session unless otherwise agreed.

Payment methods and details will be confirmed before therapy begins.

Cancellations and Missed Sessions

If you need to cancel or reschedule a session, please provide at least 48 hours notice.

Sessions cancelled with less than 48 hours notice may be charged at the full session fee.

Missed sessions without notice are also charged at the full session fee.

Confidentiality

Confidentiality is an essential part of the therapeutic relationship.

Information shared in counselling sessions will remain confidential except in the following circumstances: if there is a serious risk of harm to yourself or others, if safeguarding concerns arise involving a child or vulnerable adult, if disclosure is required by law or court order, or when discussing work with a professional supervisor (your identity will remain anonymous).

Where possible, any necessary disclosure would be discussed with you first.

Walk and Talk Sessions

Walk and Talk sessions take place in public outdoor spaces.

While quieter routes are chosen where possible, complete privacy cannot always be guaranteed in outdoor environments.

By choosing Walk and Talk sessions, you acknowledge and accept this aspect of the setting.

Sessions may occasionally need to be adapted or moved online due to weather or other practical circumstances.

Communication Between Sessions

You are welcome to contact me between sessions if needed.

While I may not always be able to respond in depth or immediately, you are welcome to share updates or reflections by email, and we can explore these further in our next session.

Email communication is not intended to replace counselling sessions or provide ongoing therapeutic support outside of scheduled meetings.

Emails are typically responded to within 48 to 72 hours.

Recording of Sessions

To protect confidentiality and the integrity of the therapeutic process, counselling sessions must not be recorded without prior discussion and mutual agreement.

This applies to both audio and video recordings.

If a client wishes to record a session, this must be discussed and agreed in advance.

Crisis Support

This practice does not provide emergency or crisis services.

If you are experiencing a mental health crisis or require urgent support, please contact your GP, NHS services or emergency services.

For immediate support in the UK:

NHS 111 – call 111 and select the mental health option

Samaritans – available 24 hours a day on 116 123

Emergency services – call 999 if you or someone else is in immediate danger

Safeguarding and Duty of Care

I am committed to working in line with UK safeguarding legislation and professional ethical standards.

Where there are concerns about serious harm to yourself, others, or a child or vulnerable adult, I may need to share relevant information with appropriate services.

Where possible, this would be discussed with you first.

Record Keeping

Brief confidential notes may be kept following each session.

These records are stored securely and handled in accordance with UK data protection law.

Records are typically retained for seven years after therapy ends, in line with professional guidelines, after which they are securely deleted.

Use of Artificial Intelligence

Artificial intelligence tools are not used to analyse or process client session material.

Data Protection and Privacy

Personal information collected through intake forms or counselling sessions is stored securely and processed in accordance with UK GDPR and the Data Protection Act 2018.

Roxana Cristina Alexandru is registered as a data controller with the Information Commissioner’s Office.

You have the right to request access to the personal data held about you, request corrections to inaccurate information, and request deletion of data after therapy ends, subject to legal retention requirements.

Ending Counselling

You are free to end counselling at any time.

Where possible, it can be helpful to discuss ending therapy so that the work can be brought to a thoughtful and supportive close.

In some circumstances I may recommend ending or pausing counselling if another form of support may be more appropriate.

If no appointment is scheduled for four weeks or more and no alternative arrangement has been agreed, the therapeutic relationship may be considered concluded.

Consent to Counselling

By signing this agreement you confirm that you have read and understood the information outlined above, you consent to participate in counselling sessions, you understand the limits of confidentiality, you understand that counselling does not replace medical care, and you agree to the session fees and cancellation policy.
